  • Elementary - Associate Program Coordinator

    POSITION SUMMARY

    The Associate Program Coordinator is responsible for assisting the Program Coordinator in the day-to-day operations of the assigned Casita Maria after-school and summer camp program for youth. Responsibilities include, but are not limited to co-training, co-managing, and co-evaluating a team of professionals, and co-implementing the youth program’s curriculum and design in a proficient manner in order to meet contractual obligations while maintaining a safe environment in accordance with various regulations. Additionally, the Associate Program Coordinator is co-responsible for the program development and managing relations with school and program partners. 


    The Associate Program Coordinator will be supported by a team of Education professionals including the Director of Education and Programs, the Program Coordinator, Education Specialist, Outreach & Family Coordinator, Group Facilitators, Teaching Artists, and Interns/Volunteers. Team members also collaborate with other deparment leaders including Creative Arts.


    OVERALL RESPONSIBILITIES 

    • Assist in the oversight of after-school and summer camp programs, ensuring alignment with Casita Maria’s mission, strategy, and objectives, while ensuring contractual requirements.
    • In coordination with the Program staff, develop work scope, manage and implement a program schedule of activities in accordance with specifications and funding limitations.
    • In coordination with the Program Coordinator, implement high-quality programming, which includes a supportive and engaging environment.
    • In coordination with the Program Coordinator, the Director of Education and Programs and HR, co-interview, co-train, co-manage and co-evaluate a team of professionals including but not limited to Group Facilitators and Interns/ Volunteers.
    • Regularly assists in the supervision of transporting participants from their school to the after-school program at Casita Maria.
    • Co-Supervise, observe and conduct weekly/monthly staff meetings with direct reports.
    • Enter weekly data and attendance on the required database, DYCD Connect. 
    • Maintain accurate recordkeeping of program documentation (attendance, sign-in/out forms, behavior/incident/accident reports, as appropriate).
    • Assist in distributing, receiving, auditing and managing program files and participant applications to ensure that the required regulations are met.
    • Co-facilitate parent orientations and collaborate with families to increase family engagement.
    • Alongside the Program Coordinator, recruit, enroll and retain program participants by utilizing approved promotional or marketing methods at parent-teacher conferences and school/community meetings.
    • Build and maintain positive relationships with schools, youth, other community based  organizations and  program partnerships.
    • Develop and maintain positive relationships with parents and guardians through regular communication about their child’s strengths and growth areas.
    • Create and maintain a welcoming, productive, and encouraging environment for participants, their families, and members of the community.  
    • Adhere to all Department of Health, DYCD, Casita Maria’s, and funder standards, expectations, and regulations. 
    • The position is required to complete 30 hours of training that address topics and subject matter set forth in school-aged child care regulation 414.14 (d).

    QUALIFICATIONS/ REQUIRED SKILLS:

    • Bachelor’s degree and at least two years of relevant experience working with youth grades K-8.
    • Experience with Youth Development programs in an educational or non-profit setting preferred.
    • Exceptional writing and editorial skills required; clear verbal communication skills required.
    • Strong computer skills: knowledge of Google Drive suite and other standard business technology is required.
    • Ability to meet deadlines, attend meetings and prioritize tasks.

    COMPENSATION AND BENEFITS

Part-time

Casita Maria accepts applications for the Group Facilitator position on a rolling basis. As opportunities become available, we will contact you. Applicants for the Group Facilitator position must be available to work in-person Monday through Friday between the hours of 2:00 PM and 6:00 PM.

  • Group Facilitators (K to 5th grade) and (6th to 8th grade)

    POSITION SUMMARY

    A Group Facilitator is a direct line staff member who is responsible for leading in one or more STEAM discipline areas, physical activities, or other activities that develop and strengthen academic, physical, and social skills. Responsibilities include, but are not limited to, providing academic support, facilitating activities, and developing lessons that are aligned with our Creative Youth Development (CYD) framework and are in accordance with the required Department of Youth and Community (DYCD) Development and Department of Health and Mental Hygiene (DOH) regulations.


    Group Facilitators are supported by a team of education professionals including the Program Coordinator, the Associate Program Coordinator, the Education Specialist and Teaching Artists.  


    OVERALL RESPONSIBILITIES

    SUPPORT

    • Supervise young people transitioning from the school day into the after-school program; track attendance, oversee snack distribution, transition to activities, and dismissal.
    • Create and maintain a structured safe space (classroom/studio) that supports learning, growing, and supports social-emotional well-being.
    • Log and report daily attendance, behavior, and incident reports.
    • While working with a teaching artist, appropriately support their work and encourage young people to participate and engage in the activity.

    DEVELOP

    • In coordination with the Education Specialist, develop engaging and age-appropriate lesson plans and instructional material for STEAM, civic engagement, physical recreation, arts & crafts, and literacy activities.
    • Develop unit outline curriculum for activities like Civic Engagement in alignment with the unit framework created by the Education Leadership Team
    • Actively participate and attend weekly/bi-weekly/monthly team meetings and one-on-one sessions.
    • Build positive relationships with young people to establish positive connections and rapport.

    FACILITATE

    • Facilitate lessons in at least one or more of the following activities: STEAM, civic engagement, physical recreation, arts & crafts, and literacy activities that encourage growth and exploration.
    • Model the principles of CYD in the classroom/studios and in the workplace.

    QUALIFICATIONS/EXPERIENCE REQUIRED

    • High school diploma required; currently enrolled in college, preferably in education or youth development field.
    • A minimum of 2 years of direct experience working with children under 13 years of age.
    • Participation in our training and professional development workshops that focus on youth development, safety, mandated reporter, social-emotional learning, lesson planning, and facilitation is required.

  • Finance Assistant

    POSITION SUMMARY

    Reporting to the Controller, the Finance Assistant will provide day-to-day administrative assistance while supporting Casita Maria’s financial operations. In this position, you will be a proactive individual with strong organizational and analytical skills. As the Finance Assistant, you will provide support in areas of receivables, payables, financial reporting and ensure our finance procedures follow policy.


    OVERALL RESPONSIBILITIES

    • Maintains accurate record keeping of invoices, contracts, W9s and other financial documents for annual audit. 
    • Review weekly invoices and prepare approved invoices for payment in Bill.com.
    • Receive and process purchase orders from internal departments.
    • Assist all staff with financial inquiries and procedures regarding DocuSign; such as filling out purchase and payment requests forms and submission of employee reimbursements.
    • Utilize FundEZ to enter data, post journal entries and print financial reports.
    • Assist in the preparation of ad hoc financial reports and budgets.
    • Assist with the handling of incoming mail, reviewing and processing checks received.
    • Support the Controller with other financial tasks as needed.

    QUALIFICATIONS/EXPERIENCE REQUIRED

    • Associate’s degree in Accounting, Finance, Business Administration, or a related field; Bachelor’s degree preferred.
    • At least 1-2 years of experience in a finance or accounting role. Experience in a non-profit environment is a plus.
    • Must have knowledge of general accounting principles (GAAP).

    REQUIRED SKILLS AND COMPETENCIES

    • Proficiency in Microsoft Office Suite (Excel and Word) and Google Workspace 
    • Familiarity with Docusign and accounting software (e.g., FundEZ, and Bill.com).

  • Associate Coordinator, Teen Arts Program (TAP)

    POSITION SUMMARY


    Reporting to the Artistic Director, the Associate Coordinator, Teen Arts Program (TAP) will be responsible for coordinating logistics for TAP and overseeing its daily operation. TAP is an arts-based workforce development program that prepares young people for careers in the arts. This is a direct service position coordinating the Teen Arts Program and supervising the bilingual teenage employees of Casita Maria. This position requires a fully bilingual English and Spanish professional with exceptional organizational and planning skills fueled by a passion for Arts, Culture and Community. 


    The Associate Coordinator will assist with TAP culminating partner events including but not limited to Public Works of the Public Theater, The Metropolitan Museum of Art and the Whitney Museum. The Associate Coordinator will also assist with all Department events including but not limited to the South Bronx Culture Festival, Gallery programs, Bronx Banda featuring Arturo O’Farrill concerts, Casita Maria Young Artists culminating events and more.


    Working with the Arts team, the Associate Coordinator will hire, train and supervise the teens during after school programs, summer day camp and events. The Associate Coordinator will be in regular contact with and supported by a team of professionals including the Executive Director, Artistic Director, Director of Education and Programs, Teaching and Therapeutic Artist Coordinator, Arts Program Coordinator, and Community Outreach and Family Engagement Coordinator.


    OVERALL RESPONSIBILITIES

    • Organize and host a semi-annual recruitment event to encourage new teen staff to apply.
    • Organize the Family Roll Out Meetings for potential candidates and their parents; which includes ordering food, set-up and breakdown of meeting space and confirmation of guest list.
    • Assist in the selection process and schedule interviews; notify the HR Department of any new hires.
    • Book and oversee bilingual tutoring sessions to support the candidate with their application process.
    • Co-facilitate onboarding training for TAP with the Arts Team.
    • Create, manage and post weekly TAP work schedules.
    • In collaboration with the Arts team, build the TAP curriculum.
    • Research, book or lead enrichment activities and maintain a bilingual calendar of these activities.
    • Maintain inventory of healthy snacks and replenish by placing orders.
    • Manage daily check-in meetings and TAP placements/ assignments in Arts Studios.
    • Chaperone field trips to partnering events.
    • Attend bi-weekly check-in meetings with the Artistic Director.
    • Attend professional development training and bi-weekly team meetings.
    • Oversee photo and video documentation of the program, collect testimonials and surveys as needed to assist with grant applications.
    • Update and translate flyers and information documents.
    • Ensure pre and post Social Emotional Learning surveys are completed by the teen employees.
    • Assist the Arts team with culminating events and public programs as assigned.
    • Complete other duties as assigned by the Artistic Director.

    QUALIFICATIONS/ EXPERIENCE REQUIRED

    • Bachelor’s degree in a related field with a strong track record of 3 to 5 years working with youth/teens in a community arts setting.
    • Must be proficient in both English and Spanish, with the ability to read, write, speak and teach in both languages.
    • Experience managing multiple projects, both short and long term simultaneously.
    • Experience and comfortable working in an office environment and outdoors for events.
    • Previous experience working at a community based organization preferred.

    The Associate Coordinator will work during the after-school programming hours of 2PM to 6PM in an office, school, and community center environment, and will work additional assigned hours, including nights and weekends, based on event/program schedules at certain times during the year.

    • Must be able to lift a minimum of 30 pounds. 
    • Will be required to move and set up furniture/supplies/equipment in a room or outdoor event space. 
    • May require the use of a ladder.
